Internal Communication & Event Support
• Develop, write, and edit internal content, including announcements, newsletters, and intranet updates, to keep employees informed and engaged.
• Support the planning, promotion, and execution of company events, team-building activities, and town hall meetings.
• Coordinate with different teams to create and distribute internal communications that align with the company’s culture and values.
• Maintain and update internal communication platforms to ensure information is current and accessible.
Office Administration
• Manage day-to-day office operations in the Shanghai office, including office supplies, equipment, and maintenance.
• Act as the first point of contact for office-related inquiries, providing support to employees and visitors.
• Ensure a clean, safe, and well-organized working environment.
• Assist in setting up and maintaining office policies and procedures.
Finance & Vendor Support
• Handle expense applications, reimbursements, and invoice processing for office-related expenditures.
• Coordinate with vendors and service providers, negotiating agreements and ensuring timely payments.
• Assist in tracking office budgets and maintaining accurate records of administrative expenses.
Document & Seal Management
• Manage the company’s official seals, stamps, and business licenses, ensuring proper usage and compliance.
• Maintain an organized system for physical and digital filing, archiving, and document retrieval.
• Support contract administration and other documentation processes as needed.
General Administrative Duties
• Assist with travel arrangements, meeting coordination, and other ad-hoc administrative tasks.
• Collaborate with HR and other departments on cross-functional initiatives.
