Position Summary
Established in 2015, the Institute of Contemporary Arts at NYU Shanghai (former NYU Shanghai Art Gallery) is a university-based cultural institution committed to public research, incubating ideas and exchange amongst artists, scholars, students, practitioners, and publics and working outside of traditional disciplinary boundaries, through exhibitions, public programs, publications and residencies. With the arrival of a new director/curator, ICA Shanghai is undergoing a new direction and development towards re-opening to the public in fall 2019.
The intern reports to the director/curator but will be also be supervised by the curatorial assistant. The intern provides administrative and logistical support on all gallery operations and programs. The position is an opportunity for undergraduate students or recent college graduates interested in learning about the gallery and museum sector through first-hand observation and involvement. Interns will acquire a wide range of skills and experience associated with the programming of a university art gallery and gain a comprehensive knowledge of working within both a small organization and large institution. Interns will also have the opportunity to get connected with the Shanghai art community, especially artists/researchers who participate in ICA Shanghai’s program as guest speakers/performers.
The duration of the fall internship is Sept. 9 to Dec. 20, 2019.
Main Responsibilities
Daily Operations/Administration:
- topical research (related to admin/exhibitions/events/public engagement/fundraising/development, etc.) - purchasing and managing office supplies - making payments and doing reimbursements - collating and organizing documents - scheduling and participation in meetings - maintaining archives and databases - managing student workers and volunteers (when applicable)
Exhibitions:
- making travel arrangements for artists/guests - gallery monitoring, opening &; closing protocols - guest/visitors reception - docenting - assist with installation and deinstallation, exhibition maintenance - assist in post-exhibition evaluation and assessment (attendance data collection and analysis, feedback collection and analysis) and reporting Public Programs &; Events Assistance: - Assist with event coordination &; planning: date/time/room coordination, room booking, IT/Facilities/Public Safety coordination, RSVP list management, IT/AV equipment checkout and support - Staging/Hosting: checkout, setup &; breakdown, guest assistance (printing, check coats/bags, drinks/food, etc.), return supplies Communications, Publicity &; Marketing: - Assist in drafting, translating, and editing publicity and marketing materials for print, websites, newsletters, and social media channels - Assist in designing publicity and marketing materials (if skills apply) - Assist in editing, transcribing, and translating photo/video documentation
Other:
- Regular shifts on weekends (likely two weekend days per month) - Occasional shifts in evenings (events support)Qualifications
Excellent verbal and written communication skills Ability to fluently speak, read, and write in English and Mandarin Ability to work proactively, independently, and collaboratively Maintain confidentiality and handle sensitive information with discretion Familiarity with design software such as Adobe Photoshop, InDesign, and Illustrator Interest in contemporary visual art, architecture, design, literature, and performance, etc. is a plus Experience with photo and video documentation and editing is a plus Ability to work some evenings and weekends for special events and as needed Available to work at least 4 days per week, ideally 5 days per week TO APPLY Interested applicants should submit a cover letter and resume when applying for the fall internship.
