职位描述:

Position summary: Primarily responsible for providing a professional and personable point of contact to clients and visitors of the Shanghai rep office of Cooley LLP.  Specific duties include, but are not limited to, the following:

Position responsibilities:

·         Answer phones in a professional manner and forward calls as requested

·         Greet and announce visitors.

·         Coordinate aspects of conference room reservations, serving as the Shanghai contact for firmwide meetings.

·         Coordinate appropriate meal or beverage set-up for all meetings, including ordering as requested.

·         In coordination with Director of Administration, liaison with on-site property manager to arrange for general facility maintenance including lightbulb replacement, temperature adjustments and other issues. Submit work orders for maintenance issues to building management as needed.

·         Maintain security badge log (new hires, temporary loaner keys, etc.).

·         Perform quality checks on documents as requested.

·         Arrange for outbound Messenger Services as instructed, monitoring to ensure timely pickup and maintaining log of both inbound and outbound packages.

·         Assist legal secretaries and other staff in the office with projects such as processing documents and transcribing handwritten drafts, entering Daily Time Entry, adding attorney contacts to client database and typing a variety of documents as needed.

·         Maintain a neat and orderly reception area.

·         Check general voice mailbox daily and forward messages to the appropriate attorney or staff member.

·         Maintain and forward visiting attorney information as needed.

·         Assist various departments with administrative tasks as assigned.

·         Provide administrative support to Director of Administration.

·         All other duties as assigned or required.

Skills and experience:                       

Required:

  • Available to work overtime, as required
  • After orientation at Cooley LLP, exhibit proficiency in Microsoft Word, Excel, PowerPoint, Outlook, DTE and FileSurf.
  • Previous knowledge of computers and a general working knowledge of copy machines and fax machines.
  • Fluency in English and Mandarin – excellent written and verbal communication skills in both.
  • Associate degree or equivalent.
  • Preferred:

  • Previous related experience in a professional services environment.
  • Degree holder.
  • Competencies:

    ·         Ability to interact in a professional, cooperative and tactful manner with clients, co-workers and others both in person and on the telephone.

    ·         Must possess excellent verbal and written communication skills.

    ·         Ability to work independently and as part of a team in a fast paced environment.

    ·         Ability to manage multiple projects with keen attention to detail while maintaining a neat and organized work space.
