The Swiss Center Shanghai (SCS) named as SCS Machinery, Trading and Business Center is the Headquarter of the Swiss Centers China (SCC). Located in the Shanghai Pilot Free Trade Zone it covers 4000sqm facilities with office, showroom and bonded – non bounded warehouse space. SCC supports Swiss companies to enter into the Chinese market with providing them concrete solution and network. The Swiss Centers China was found in 2000 and is today one of the biggest cluster of Swiss companies in Asia with office in Shanghai, Tianjin and Beijing and has supported over 300 SMEs for the last 20 years.
Admin assistant / Job description
➢ Being located in SCS, the Admin assistant will support the Operation Manager to undertake the proper functioning of the premise (coordinate with different suppliers).
➢ Be the owner of the high quality, Swiss image of SCS and ensure it is maintained and developed.
➢ Receive supplier, guide visitors, and answer phone calls.
➢ Provide support and services to the SCS members, ready to act on demand and strive for solutions to satisfy the appearing needs.
➢ Prepare and coordinate the arrival of new tenants (telephone line, internet, decoration, special request and logo).
➢ Assist the Operation Manager and PR assistant to promote the SCS premise to potential customers, engage new companies to reach and maintain a full occupancy of the premise.
➢ Supervise daily office administrative tasks of the daily activities (paper work, invitation letter, order, invoice, inventory, office procedures).
➢ Ensure and maintain good relations with the Chinese local authorities and service providers.
➢ Support SCS members in their interaction with local authorities and service providers, together with the Operation Manager, organize regular events with SCS members, and get feedbacks on their opinions and suggestions.
➢ Support the departments to receive delegations and organize event.
➢ The Admin assistant will act as cashier. She/he will be responsible to coordinate all the parties that are involve with finance such as Swiss Center headquarter finance department and tax bureau.
➢ The Admin assistant will support the Trade specialist with the admin tasks (import/export application, coordination with forwarders, preparation of the offers).
➢ Beside the administrative tasks, the person will also, on regular basis, present Swiss products at fairs and/or exhibition centers.
Candidate profile:
o Native Chinese
o University education. A focus in business, economics or management is a plus
o Experience in event organization, interaction with customer
o Experience with western companies and cultures, and knowledge of their ways of “doing business”
o Pro-active, creative and solution oriented
o Service and result oriented
o Very well organized and independent
o Naturally likes to build up networks and relations
o Reliable, responsible, loyal, honest and straightforward
